East Staffordshire Flying Club (‘ESFC’) Privacy Policy

Information we collect about you

We hold details such as name, address, contact number and email address in order to maintain contact and ensure that you receive member services.  We also hold data on age (if under 18) and the type and duration of your membership.

We collect information that you provide by filling in forms either in paper form or on our website.  This includes information provided at the time of registering to becoming a member of ESFC, posting material or requesting further services. If you contact us, we may keep a record of that correspondence.

ESFC takes all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.  Our membership database is held on a standalone laptop which is not connected to the internet.  Only our Membership Secretary has access to this database which is password protected.

If you do not renew your membership we will hold your details for five years, in case you wish to re-join and retain your old number.

How we use your information

ESFC will only use personal information to provide you with matters of legitimate interest. Personal information will not be passed to third parties. Information may be shared with ‘Data-Processors’ (relevant Committee members) on behalf of ESFC for administration purposes, who shall at all times remain responsible for the confidentiality of the data.

Your Rights

You can ask us to stop sending you mail, or emails, or ask us to stop processing your details by emailing membership@esfc.club.

You can request that your data is deleted at any time.

You can request sight of the data we hold about you at any time.

You can request changes to your data at any time.

Please note that if you choose to opt out of us contacting you and you continue to be a member, there may be instances where it becomes necessary for us to communicate with you, in any event, for administrative or operational reasons.

If a member wishes for all data about them to be removed from our database then they will cease to be a member of the Club as it is not deemed reasonable to have a member who we have no information about.

Finally, if, despite our best endeavours, there is a misuse of your information, you can find out more information from the ICO’s website with regard to raising your concerns.

Children

Children aged 18 or under wishing to provide personal details to ESFC should get their parent/guardian’s permission to do so.

Website

Data is collected from users of websites. This data may have been entered into an online form, or by tracking what you access on our website. The data may subsequently be stored in a database, and/or may be used by cookies. This data is used, for instance, to help us understand how many people use our website, which pages are more relevant than others and how long people spend on each page, etc.
